Special Events Coordinator

Title: Special Events Coordinator
Reports to: Program Director
Position Type: Volunteer position

Time Commitment:
10-15 hours per month.​

Duties and Responsibilities:
  • Act under the authority of the Programs Director (PD) to coordinate and control any related activities to streamline the process of all special events being handled by the Programs Department.
  • Facilitate communication between the PD and all other relevant departments within Georgia FirstGen. 
  • Assist the PD in researching and maintaining a database of all relevant first-generation student topics and themes for the Annual Leadership Summit and monthly workshops.
  • Relate information and coordinate with the Marketing department to develop pertinent marketing materials for the promotion of all special events (i.e., themes, quotes, t-ships, giveaways), at the discretion of the PD.
  • Gather, compile, and send frequent status updates, relating to all special events, from Georgia FirstGen directors to the PD.
  • Compile and update all speaker information database, to include but not limited to, speaker bios, contact information and event attendance. Special events coordinator will also be responsible for sending out timely Thank You cards to all special guests. 
  • Plan and schedule all logistical information for the precise execution of all special events, with the assistance of the PD and the Chief Operating Officer.
  • Acquire knowledge related to multiple departments within the Operations Department. 
  • Support strategic partnerships by providing exceptional advice, facilitating effective knowledge management, and assisting with project planning, coordination, monitoring, and reporting with any departmental collaboration.
  • Implement any ad-hoc project request with the approval of the PD.

Qualifications:
  • High School graduate of ethical and moral character
    • Preferably a college student or young professional
  • Strong commitment to Georgia FirstGen's mission and values

Preferred Skills:
  • Demonstrated interest/experience in Youth Development & Event/Project Management
  • Outstanding written and verbal communication skills in English
  • Energetic, personable, and creative with an ability to relate well to diverse populations
  • Deadline oriented and able to take initiative and work well under pressure
  • Strong ability to plan and manage multiple projects with high attention to detail
  • Excellent time management and organizational skills
  • Work effectively in teams
  • Strong leadership skills
  • Proficient in Google Drive, Microsoft Office, and Social Media platforms
    • ​Google Docs, Sheets, Forms/Excel, Word Doc, PowerPoint, Facebook, Twitter, etc.
